- Identify the matter, date range, and custodian list with counsel.
- Issue the hold notice.
- Suspend automatic deletion for those sources.
- Preserve mailboxes, chat, and file shares in place or by collection.
- Collect acknowledgments from custodians.
- Release the hold only on counsel’s written instruction.
- Do not run a “cleanup day” or new retention job on held data.
